Four checks from payment setup to payout

Treat payment collection as a short operating loop. Each check leaves one clear record for the next person.

  1. Before collection

    Set the club payment rules

    Enable club payments before you collect by Direct Debit. Decide which sessions carry an attendance charge and which players use a subscription, then set the amount before club night.

    ShuttleOps supports Direct Debit, session charges, subscriptions, and payments made outside Stripe. Payment instalments are not supported.

  2. At club night

    Confirm attendance before you charge

    Keep the booking list and actual attendance separate. A player who booked but did not attend may need a different result from someone who played.

    ShuttleOps keeps attendance and the session charge in the same club-night record. Staff can review the amount due before collection.

  3. After collection

    Review every payment result

    Check successful and failed charges in the transaction view. Record cash, bank transfer, or another offline payment there too, so the balance does not stay wrong.

    A failed payment remains visible for follow-up. The club can act on an exception without rebuilding the full payment list.

  4. At reconciliation

    Match balances to the club payout

    Review each player balance alongside the completed transactions. Players can see their own balance and payment history without seeing another member’s account.

What does each Direct Debit cost?

Stripe lists Bacs Direct Debit at 1%, subject to a 20p minimum. ShuttleOps applies the same charge separately, with its own 20p minimum.

On Pro and Extra, ShuttleOps groups weekly charges into one monthly payment per player. Fewer collections mean fewer minimum fees.

Owners, administrators, and finance staff can review the club payment workflow. Session helpers do not need access to the club bank account.
