How to hand over a badminton club night to another volunteer
A practical handover for bookings, attendance, court rotation, and payments, so another volunteer can run your next session.
A club night should still run smoothly when the usual organiser cannot attend. That starts with shared records and a clear handover.
If bookings live in one chat, payments in a spreadsheet, and court decisions in someone's head, cover becomes difficult. The next volunteer needs a usable routine, not a long explanation at the sports hall door.
Agree who owns each part of the evening
Choose who will welcome players, manage the session, and check payments. One person can cover several jobs, but each job needs a named owner.
Give the covering volunteer their own account and the access their role needs. Do not pass around the usual organiser's password.
Share the session details before players arrive
Record the date, location, courts, capacity, and member or guest prices. Explain what happens when a session fills up. Keep venue access instructions somewhere the covering volunteer can reach.
ShuttleOps lets managers schedule sessions with attendance and booking controls. These shared details give the next organiser a starting point without rebuilding the evening from chat messages.
Keep bookings and actual attendance separate
A booking tells you who plans to come. Attendance tells you who actually played. Check both, especially when guests arrive or someone cancels late.
Tell your cover how to welcome a new player and who can answer membership questions. Keep any personal information limited to the people who need it.
ShuttleOps brings player records, bookings, and attendance into the club workflow. That helps a covering organiser work from the club's records instead of a private list.
Make court rotation a repeatable process
Explain how players enter the session, how games start and finish, and how waiting players return to court.
The Digital Peg Board allocates available players across courts and rotates waiting players through a virtual court. Show your cover these controls before asking them to run a busy evening.
Practise together during a normal session. Let the covering volunteer operate the session while the usual organiser remains available for questions.
Leave a clear payment record
Agree who reviews charges, records offline payments, and follows up on unpaid balances. Write down any exception when it happens.
ShuttleOps supports session charges, payment records, and balances. Keep the record current so the next volunteer can see what needs attention. Do not treat a booking or attendance mark as proof of payment.
A short handover you can reuse
- Who runs the session, welcomes guests, and checks payments?
- Are the location, courts, capacity, and prices correct?
- Can the covering volunteer access the records they need?
- Have they practised starting and finishing games?
- Where will they record exceptions and unresolved questions?
After the session, review what caused confusion. Improve that part of the routine before the next handover.
